In short: choose software that keeps your departments on one set of records, lets a named person approve anything that moves money or goes to customers, shows the record behind every AI answer, limits each person to what their role allows, and is honest about what is live today. Start with the two or three departments that cost you the most time.
What is AI business software?
AI business software is a business system, for sales, stock, finance and similar work, with an AI assistant built in that reads the company's own records to draft documents, answer questions and suggest next steps. The useful kind keeps people in charge of anything that moves money or goes to customers.
It is different from a general chatbot: the AI works on your quotes, invoices and stock records, inside the permissions of the person using it, instead of on whatever you paste into a chat window.
Should an SME use one system or separate tools?
If your departments hand work to each other every day, for example an enquiry becomes a quote, then a delivery, then an invoice, one system on shared records saves the retyping and lets the AI see the whole chain. If one department works alone, a single focused tool can be enough.
| Separate tools, not connected | One system on shared records | |
|---|---|---|
| Order to invoice | Retyped between WhatsApp, Excel and accounting | Each step created from the one before |
| What the AI can see | One tool's data at a time | The whole chain, limited by each person's role |
| Approvals | Chat messages and phone calls | One inbox with a recorded decision |
| Owner's view | Collected by hand at month-end | One dashboard, updated from the records |
| Best when | One department works mostly alone | Departments pass work to each other daily |
Separate tools that are connected to each other can close some of these gaps. If you go that way, ask how much setup and upkeep the connections need, and who fixes them when one tool changes.
Avantix builds both: focused products such as AiReply for WhatsApp replies, Lead Link for sales leads and the Procurement Portal for purchase approvals, and Pulse for every department on one set of records.
Seven questions to ask before you buy
- Does the AI show where each answer came from? You should be able to open the record behind every figure. In Pulse, answers cite each record, for example [INV-2988].
- What can the AI do without a person? Ask for the exact rule for payments, HR actions and messages to customers. In Pulse, money, HR and outgoing messages always wait for a named person's approval, and the AI never deletes records.
- Does every employee see everything? They shouldn't. In Pulse, staff see only their own departments, on every screen and in every AI answer.
- Is my data separated from other customers' data? Ask how, not just whether. In Pulse, each company's records are separated inside the database with row-level security.
- Where does my data go when the AI runs? Ask which AI provider is used and what data is excluded. Pulse is built to use Anthropic's Claude, off for each company until it opts in, with finance, HR and personal data kept out until a data policy is agreed.
- Can I start small? You shouldn't have to switch on everything at once. Pulse starts with three departments and adds more later.
- What is live today, and what is a demo? A trustworthy vendor will tell you plainly. Pulse is in early access: a working demo with sample data, with WhatsApp, email and ERP connections simulated.
Is it safe to let AI touch finance and HR work?
It can be, if the software limits what the AI may do: drafts and suggestions only, a named person approving every payment, HR action and outgoing message, and sensitive data kept away from outside AI services until you agree a data policy. Ask the vendor to show these limits working, not just describe them.

Where should an SME start with AI business software?
Start with the two or three departments that cost you the most time or money today, usually the front office (enquiries, quotes) or purchasing and stock. Run them on the new system first, then add the next departments once your team trusts it.
- List the hand-offs that go wrong most often, such as quotes without stock or invoices that are paid late.
- Pick the departments those hand-offs pass through.
- Ask for a demo using an order like yours, not a generic tour.
